  • Postal address (for sending course materials; deleted once delivery is complete)

  • Payment information (processed via third-party payment processors; we do not store card details)

  • Usage data from website visits (IP address, browser type, pages visited, time spent)

  • Cookies and tracking technologies (see Section 6)

  • Our CRM system

  • Google Sheets (used as our current internal database)

  • MailerLite (for newsletters and marketing communications)

  • Provide, manage, and improve our courses and services

  • Manage course bookings and payments

  • Send course materials and relevant communications

  • Register learners with awarding or accrediting bodies where required for certification

  • Administer newsletters, updates, and marketing communications where consent has been provided or where permitted under applicable marketing regulations.

  • Monitor and improve website functionality and user experience

  • Comply with legal obligations or enforce contractual rights

3A. Lawful Basis for Processing

We process personal data under one or more of the following lawful bases:

  • Contract – to fulfil course bookings and deliver training services

  • Legal obligation – to comply with applicable laws

  • Legitimate interests – to manage and improve our services

  • Consent – for marketing communications

Where Special Category Data is disclosed during training (e.g. health or mental health information), processing is limited to what is necessary for safeguarding, welfare follow-up, or legal obligations and is handled with appropriate safeguards.

4. Retention of Your Personal Data

We will only retain personal data for as long as necessary to meet the purposes outlined above.

  • Postal addresses – deleted immediately after course materials are sent.

  • Course and contact data – retained for a maximum of 10 years to cover legal obligations and training refresh cycles (MHFA skills refresh every 3 years).

  • Usage data – retained for internal analysis, typically shorter periods unless required for security or legal reasons.

5. Sharing Your Personal Data

We do not sell your data. We may share data with:

  • Service Providers – MailerLite, CRM providers, Google Sheets, payment processors, and analytics providers for processing purposes only

  • MHFA England – where you attend an MHFA England accredited course, your name and contact details will be shared with MHFA England to register you on their system and enable certification. MHFA England acts as a separate Data Controller and processes your data in accordance with their own Privacy Policy

  • Legal/Regulatory Authorities – if required by law or legal process

  • Safeguarding – where necessary to protect an individual from serious harm, personal data may be shared with relevant authorities or organisational safeguarding leads in line with our Safeguarding Policy

  • Business Transfers – in the event of a sale, merger, or acquisition, personal data may be transferred with notice
