
Terms and Conditions
1. BOOKING A COURSE
1.1 Provisional Booking
When you confirm that you would like to book a course, we will provisionally hold your place and issue a booking confirmation and invoice.
A place on the course is not fully confirmed until payment has been received in accordance with Section 5 of these Terms and Conditions.
We reserve the right to release any provisional booking if payment is not received within the stated payment terms.
1.2 Your Responsibility
You acknowledge that you are responsible for selecting the correct training course and for checking that all booking details are correct upon receipt of the booking confirmation and invoice.
2. YOUR RIGHTS TO MAKE CHANGES
2.1 Rescheduling
All requests to reschedule to another course and/or date must be received in writing and are subject to availability. Rescheduling fees apply as follows:

No charge – More than 2 weeks before the training course is due to commence
-
50% of course fee – Between 1-2 weeks before the course
-
100% of course fee – Less than 1 week before the course
Rescheduled bookings are not confirmed until you receive written confirmation from us of the new course date, course type, and/or venue.
Fees apply per delegate unless otherwise agreed in writing.
3. OUR RIGHTS TO MAKE CHANGES
We reserve the right to make changes to course dates, venues, trainers, format (including moving from face-to-face to virtual delivery), or course content where reasonably necessary.
If we need to make any significant changes to a training course (including cancellation), we will notify you as soon as reasonably possible and offer either:

An alternative course date, or
-
A full refund.
We are not responsible for any additional costs incurred by delegates or booking organisations as a result of changes or cancellations, including but not limited to travel, accommodation, subsistence, loss of earnings, or other associated expenses.
We are not responsible for changes or disruptions caused by circumstances beyond our reasonable control, including but not limited to third-party venues, illness, trainer unavailability, adverse weather, government restrictions, or force majeure events. However, we will endeavour to minimise disruption and provide suitable alternatives where possible.
4. CANCELLATION POLICY
All requests to cancel a course booking must be received in writing and will be treated as follows:
-
50% refund of course booking – More than 4 weeks before the training course is due to commence
-
No refund – Less than 4 weeks before the training course is due to commence
Cancellation must be acknowledged and confirmed in writing by us. Refunds will be processed within 14 days of written cancellation confirmation.
5. PAYMENTS AND INSTALMENTS
5.1 Payment Due
A booking is only fully confirmed once payment has been received in accordance with the invoice.
Payment is due in full within 7 days of the invoice, unless an alternative payment date has been agreed in writing.
5.2 Instalment Plan
We operate a discretionary instalment payment option, available upon request, facilitated via GoCardless.
A minimum deposit of £100.00 is required, followed by monthly direct debit payments in equal instalments over a maximum of 2 months from the date the deposit is paid.
Your booking is not fully confirmed until the direct debit mandate has been completed and the course fees have been paid in full.
If any direct debit payments fail, we will contact you requesting payment within 3 days. If payment is not received, your booking will be treated in accordance with our cancellation policy.
The instalment payment plan is a discretionary service and may not be available depending on the timeframe and course date requested.
6. TRAINING COURSES
6.1 Dietary Requirements
Where lunch is provided, we require a minimum of one week’s written notice of any dietary requirements.
6.2 Delegate Suitability
Due to the nature of course content, the minimum age to attend all courses is 18.
Delegates are responsible for ensuring they are free from any condition that would affect their capability to undertake the course and are able to cope with the course content and study requirements.
Delegates require a basic command of written and spoken English.
We endeavour to accommodate additional support needs where possible. Please contact us in advance to discuss requirements.
It is the responsibility of the booking organisation or individual to ensure delegates are suitable for the course content prior to attendance.
6.3 Training Course Information
Full joining instructions will be provided prior to the training course.
6.4 Removal From Course
We reserve the right to refuse any person to participate in or continue to participate in a training course if that person:

Does not meet the minimum age requirement
-
Is under the influence of drugs and/or alcohol, in our reasonable opinion
-
Behaves inappropriately or gives cause for concern which may result in offence or injury to other delegates or themselves

Engages in racist, discriminatory, or abusive behaviour
-
Arrives significantly late or misses sections of the course
Removal from the training course will not entitle the delegate or booking organisation to any refund, and we shall have no further liability in respect of that booking.
6.5 Course Completion
Upon successful completion of the course, delegates will be awarded the relevant course certification.
Certificates will only be issued to delegates who complete the full course as scheduled and meet the awarding body requirements. If any part of the course is missed, a certificate will not be issued.
6.6 Emotional Content and Wellbeing
Some of our training courses include discussion of sensitive topics such as mental health, suicide, and bereavement. Delegates are responsible for considering their own wellbeing before booking and attending a course.
Transpire Training Ltd provides education and signposting only and does not provide therapy, counselling, or medical advice.
Delegates who are currently experiencing significant distress or crisis are advised to seek appropriate professional support prior to attending.
We reserve the right to pause participation or provide signposting where a delegate becomes significantly distressed during a course.
7. ONLINE AND VIRTUAL TRAINING
Where training is delivered virtually:

Delegates are responsible for ensuring suitable internet access and equipment.

Recording of sessions is not permitted without prior written consent.

Delegates must ensure their participation environment is appropriate and free from disruption.

We are not responsible for technical issues outside our reasonable control.
8. DATA PROTECTION
We process personal data in accordance with applicable UK data protection legislation. Personal information is used solely for the purposes of course administration, certification, and communication regarding training.

9. INTELLECTUAL PROPERTY
All course materials, frameworks, content, slides, manuals, and resources provided by Transpire Training Ltd remain our intellectual property unless otherwise agreed in writing.
Course materials are provided for personal learning use only and may not be reproduced, distributed, shared, recorded, or used for commercial purposes without prior written consent.
10. LIMITATION OF LIABILITY
Nothing in these Terms and Conditions limits liability where it cannot be excluded by law.
To the fullest extent permitted by law, Transpire Training Ltd shall not be liable for any indirect or consequential loss arising from attendance at a training course.
Our total liability in connection with any course shall not exceed the course fee paid.
11. GOVERNING LAW
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.
12. CHANGES TO THIS POLICY
We may update this Policy. Changes will be posted on this page, and the “Last updated” date will be revised.

Fair Use Policy

Introduction
This Fair Use Policy outlines the terms and conditions for participation in the Mindful Impact Initiative. The purpose of this policy is to ensure that the offer is used fairly, responsibly, and in a manner that benefits all eligible participants.
1. Eligibility

Funding is open to organisations and individuals who meet the specified criteria for the offer.

The funding of places is only for eligible courses on a first come first served basis, availability on any particular date cannot be guaranteed.

Proof of eligibility, by an email of recommendation, may be required before the offer is granted.

Any of the offers listed as part of the initiative cannot be used in conjunction with any other offer listed on the Transpire website.
2. Appropriate Use

The funding cannot be transferred, sold, or used for commercial purposes.
3. Reservation Rights

We reserve the right to modify, suspend, or terminate the Offer at any time without prior notice.

We kindly ask that the offer be used responsibly and not over-applied. We reserve the right to terminate the offer if misuse is detected, to ensure fairness and continued access to discounted services for all eligible participants.
4. Limitation of Liability

The organisation is not responsible for any loss, damage, or inconvenience caused by the unavailability or discontinuation of the Offer.
5. Modifications

We reserve the right to amend or update this Fair Use Policy at any time. Continued use of the funding following any changes indicates acceptance of the revised policy.
